Participation & Cancellation Policy
Last updated: 1 September 2026
This policy describes the intended participation, cancellation and programme conditions for The Oasis. Until paid registration officially opens, these conditions are informational and may be updated before bookings are accepted.
1. Participation requirements
Participants must:
- be at least 18 years old on 5 August 2027;
- have a basic level of physical fitness;
- be capable of participating in several hours of moderate outdoor physical activity;
- follow reasonable instructions from The Oasis;
- follow campsite rules;
- follow instructions from professional activity providers;
- honestly assess whether they can safely participate;
- communicate relevant practical requirements where reasonably necessary for safe participation.
No specialist outdoor experience is currently required unless communicated for a particular activity. The organiser or a professional activity provider may refuse participation in a specific activity where there is a genuine safety concern. For applicable water-based activities, participants must be able to swim.
2. Personal equipment
Participants:
- bring their own tent;
- set up their own tent;
- bring their own camping equipment;
- bring their own personal belongings;
- are responsible for ensuring their personal equipment is reasonably suitable and safe.
A recommended packing list will be provided before the event.
3. Transportation
Transportation to and from The Oasis is not included. Participants arrange their own transport. Transport to individual activities is not generally included.
Carpooling may be used where practical, but participation in carpooling as a driver is always voluntary. The Oasis will make reasonable efforts to help identify practical transport solutions where necessary, without guaranteeing personal transportation.
4. Insurance
Appropriate insurance is mandatory for participants.
Participants will be required during future paid booking to confirm that they have:
- appropriate health insurance; and
- appropriate travel insurance covering the outdoor activities they intend to participate in.
Participants normally do not need to upload insurance documents, unless this becomes reasonably necessary or an activity provider specifically requires evidence.
These insurance requirements do not remove or replace any legal responsibility that may rest with The Oasis or an external provider.
5. Programme and activities
The programme is intended to contain:
- at least two major organised outdoor activities; and
- an additional organised Friday group activity.
Exact activities remain to be confirmed. Activities may be modified because of:
- weather;
- safety;
- availability;
- professional provider instructions;
- operational circumstances;
- circumstances outside The Oasis's reasonable control.
Safety takes priority over completing the originally advertised programme. If a significant activity cannot take place, The Oasis will first seek a suitable alternative activity. Where a suitable alternative is not reasonably possible, another appropriate form of compensation, including monetary compensation where appropriate, may be considered.
Any rights relating to significant changes to a paid package remain subject to applicable consumer law.
6. Weather
Outdoor adventure involves changing weather conditions. Normal rain or changing weather does not automatically result in cancellation of the event or an activity.
Activities may be modified, postponed, replaced or cancelled when conditions are considered unsafe by The Oasis or the relevant professional activity provider.
7. Behaviour
Participants must:
- respect other participants;
- respect campsite staff;
- respect activity providers;
- respect local residents;
- avoid harassment;
- avoid serious nuisance;
- follow campsite rules;
- follow reasonable safety instructions;
- avoid behaviour creating an unreasonable safety risk.
In serious cases The Oasis may exclude a participant from an activity or require them to leave the event. Any financial consequences will depend on the circumstances and applicable law.
8. Alcohol and substances
Participants may not bring their own alcohol to the event. Alcohol is intended to be available for purchase during the event, subject to applicable laws, licensing requirements, campsite rules and final event arrangements. We cannot yet guarantee that alcohol will be available.
Participants must not participate in activities while impaired by alcohol, recreational drugs or other substances where this creates a safety risk. The Oasis and professional providers may refuse participation on safety grounds.
9. Dietary requirements
The Oasis will make reasonable efforts to accommodate dietary requirements and allergies communicated at least 45 days before the event. It may not be possible to accommodate every requirement in every circumstance. Participants with dietary requirements should contact The Oasis as early as possible.

11. Booking transfers
A participant may request to transfer their paid booking to another person until 30 days before the event. The replacement participant must:
- be eligible to participate;
- be at least 18 on 5 August 2027;
- accept the applicable booking conditions;
- meet insurance requirements;
- meet relevant activity requirements.
The transfer requires approval from The Oasis. No standard administration fee is intended for a normal transfer. The Oasis reserves the ability to recover unavoidable third-party costs where legally permissible and clearly communicated in advance.
12. No-shows
A participant who does not attend without cancelling will normally not receive a refund, subject to mandatory applicable law.
13. Cancellation by The Oasis
The Oasis may potentially cancel because of:
- insufficient participants;
- safety concerns;
- campsite unavailability;
- legal restrictions;
- extraordinary circumstances;
- force majeure;
- circumstances making responsible delivery impossible.
The minimum participant threshold is 25. If fewer than 25 participants have booked by 31 March 2027, The Oasis may decide to cancel. The Oasis may alternatively decide to proceed with fewer participants. If the event proceeds with fewer than 25 participants, the lower participant number does not by itself create an additional cancellation right, except where applicable law provides otherwise.
If The Oasis cancels the entire event, participants with paid bookings will receive a full refund of payments made to The Oasis for their event booking, subject to any additional mandatory legal rights. Unrelated external costs such as privately booked transportation, hotels, equipment purchases, personal insurance or other personal expenses are not reimbursed, unless The Oasis is legally required to reimburse them.
14. Complaints
Questions or complaints should first be submitted to info.oasisadventuretrip@gmail.com.
Please describe the issue clearly and include relevant booking information where applicable. We will make reasonable efforts to investigate and respond.
